How to Setup a New Season

To setup a new season for registration follow these steps.

First, go to Manage Seasons and click the Add a Season button. Fill in the season info.

The opening and closing dates here are the "master" open and close dates—the season must be open in order for people to register for a program in that season, even if the program is still open. For example, if the season closes registration on August 1, but a program in that season has a close date of August 30, people will not be able to register after August 1 because the season is closed.  You can set open and close dates for individual programs on the Manage Programs page.

The season start and close dates also determine the Sport Year and age groups. For example, soccer seasons must begin on or after September 1 and end no later than August 31.

Unless you want everyone to go on a Wait List, as in a tryout sport, leave this field blank. Set the Wait List for individual programs when you setup the individual programs.

Click Submit when finished. If you need to Select a Sport Year, edit the season once more and choose it.


 

Next, go to Manage Programs and select your new season.

Referring to the previous year or season, click Add 1 Blank Row. Enter the first program only then submit.

Program Short Name is for your reference only, keep it short. For example "G Gr8."

Next, enter the program Full Name. The parents will see this. Fill in the appropriate dates. The late fee will be applied on your late date, if entered.

Enter a Wait List date if you want one. 

Enrollment Limit should be used if you have a restriction on numbers. For example, you only have one grade 10 team and the roster limit is 18. If you set the roster limit at 18, the 19th player to register will automatically placed on the wait list.

If your program is expensive, you may select Deferred and allow 2 or 3 payments. When you set it up, you specify the deposit amount, the date and amount of a second payment if wanted and the date of the final payment.

Select the Gender or choose COED.

Enter the Age Range by date of birth or grade range.

You may enter an optional account code for revenue tracking.

Click Submit.

Click Clone to copy this program to the end of the list. Update it for each program needed, then Submit.

Finally, if you would like your registrars to be able to withdraw players from the season, enter one last program with the short name WD, long name Withdrawn, and make sure the Open and Close Dates cover the entire season. Select COED. Do not enter an amount or any other parameters. Submit
